The Kenya National Examinations Council (KNEC) has released a step-by-step guideline on how to initiate and approve transfer requests through the Competency-Based Assessment (CBA) portal.

Learner transfer is initiated by the Head of Institution (Hol) that the learner has moved to and confirmed by the Head of Institution that the learner is originating from,” KNEC stated in a notice on Thursday, March 5.

The Head of Institution will be required to log in to the CBA portal as the Head of Institution to which the learner is transferring.

In the ‘Learner Transfer Section’  beneath the ‘Assessment Number’ label, click the text box for the assessment number, enter the assessment number, and then click the search button.

After that, the learner’s details will be displayed in the search result window, and then click the “Submit Transfer” button to complete the request process.

Once the process is completed successfully, the number of pending transfers in the learner transfer statistics section will increase by one, and details of the learner’s previous school and the head of institution’s phone number will appear.

After this, the Head of Institution that the learner is transitioning from should also approve to complete the transfer process.

The Head of Institution will be required to login into the CBA portal as the HOI of the institution that the learner is transferring from, and then select the learner’s grade.

He will then select the “transfer” menu and click the ‘pending’ button under the Learner  Transfer Management, which will then display a table that will contain all the learner transfer requests from the school.

The table will then give the HOI the controls to accept the transfer request under “Action” and complete the learner transfer process.

The notice comes  a day after the  council  announced the opening of candidate registration for the 2026 Kenya Junior School Education Assessment (KJSEA), just two weeks after the opening of registrations for the Kenya Certificate of Secondary Education (KCSE) and the Kenya Primary School Education Assessments (KPSEA)

In a notice on Tuesday, March 3, the counsel urged principals to ensure that they begin enrolling their candidates immediately, through the CBA portal.

The KPSEA registration will end on March 16, while KCSE and KJSEA candidate registrations will close on March 31.
